Somebody has left and their Office 365 licence is about to be pulled

Removing the licence starts a clock. Microsoft 365 holds the mailbox data for thirty days after the licence goes and then deletes it, whether the mailbox sits in Exchange Online or on premise, along with anything HR or legal might ask for six months later. The mailbox has to come down to disk before the licence goes, not after.

Worth knowing. Do it in this order: export, open the export and check it, then hand the licence back. Reversing the last two is how mailboxes get lost, and it is not recoverable once the seat is reassigned. Opposing counsel sent a PST and the whole review team is on Macs

PST is a Windows format and macOS has no reader for it. Outlook for Mac refuses one outright, because its own archives use OLM and the two are unrelated despite the naming. Buying a Windows machine for one file is not a plan, and neither is asking the other side to resend.

Worth knowing. Record the digest at the outset and compare it at the end. Matching values are what a chain of custody record needs, and the metadata a reviewer will check lives in the message headers, not in what the mail client chooses to display.

A client handed over an OLM file that Outlook will not open

Interrupted exports, full disks and files copied while Outlook was still running account for most damaged OLM archives. The file looks the right size and simply refuses to import, which tells you nothing about how much is still readable inside it.

A Google Workspace tenant is being wound down

Suspended users keep their data and keep costing a licence. Deleted users are restorable for twenty days and then are not. Somewhere in between, somebody has to decide what is worth keeping and get it off Google infrastructure entirely.

Worth knowing. Google Takeout is free but it queues, can take days on a large mailbox and expires the download link. A direct pull is faster past a handful of users, provided API access is switched on in the admin console first. Legacy G Suite tenants behave no differently.

Moving somebody off Apple Mail or Thunderbird onto Outlook

Apple Mail does not keep one tidy MBOX file. It keeps a directory tree of EMLX messages, while Thunderbird, Postbox, SeaMonkey and Entourage each write their own MBOX dialect. Dragging folders across between clients loses read status and flattens the folder hierarchy.

Worth knowing. Write down the per folder counts before you start and check them against the result. Totals alone will not catch a folder that vanished while another one gained duplicates. What the Export Mailbox command actually writes is covered in what Apple Mail Export Mailbox produces.

The request is for the attachments, not the messages

Somebody wants every invoice, contract or photograph out of a mailbox. Nobody wants to open several thousand messages to get them. Exporting the whole mailbox to PDF looks like it worked until you notice the attachments were flattened into the message bodies.

Worth knowing. Check attachment totals separately from message counts. A conversion to PDF, HTML or TXT can preserve every message perfectly and still flatten the files that were attached to them.

A handful of MSG files arrived and nothing on the Mac will open them

MSG is a single message saved out of Windows Outlook. Double clicking one on macOS does nothing useful, and the free viewers that do exist tend to lose the attachments or mangle anything that was not plain text.

Worth knowing. Sender, date, formatting and attachments should all survive. If a converted message loses its original timestamp, that matters more than it sounds when the mail ends up sorted chronologically. A Mac MSG converter keeps all four intact.

The addresses somebody used daily were never saved to Contacts

Outlook remembers what you type in the To field, but it keeps those addresses in an autocomplete cache rather than in Contacts. Rebuild the profile or move to a new Mac and years of addresses quietly disappear, usually noticed a week later.

Worth knowing. The cache is a separate file from the profile itself, so it survives some failures that take everything else out. Recover it before you rebuild anything, then export to CSV or vCard so the addresses land somewhere that will not vanish again.

A PDF will not open and it is the only copy anybody has

Truncated downloads, interrupted transfers and storage failures leave PDFs that Preview refuses and Acrobat calls damaged. Text and images usually survive inside the file even when the document as a whole will not load.

Worth knowing. Text, images and pages tend to come back. Form data, digital signatures and some annotations often do not, so find out which case you are in before you promise a clean file.

A personal webmail account needs pulling down before it closes

Providers close dormant accounts and change their terms with little notice. Once an account is gone the mail is gone, and the export tools built into webmail are usually slow, partial or missing entirely.

Worth knowing. Yahoo throttles bulk downloads and needs an app password rather than your account password. AOL, Zoho Mail, iCloud Mail, Outlook.com and anything else that speaks IMAP work the same way through the generic tool.

A Mac is leaving the building and it held client data

Emptying the Trash removes the pointer, not the data. On an Apple Silicon or T2 Mac, Erase All Content and Settings throws away the encryption key and that is genuinely enough for the whole machine. The gap is everything else: external drives, older Intel Macs without a T2 chip and the cases where specific files have to go while the rest of the machine stays.

Worth knowing. Overwriting matters where the disk is not hardware encrypted, because deleted items sit in free space until something else claims it. Keep the log the tool writes, particularly if the machine held client data.
