Which tool do I need?
Five categories, and the one you want depends on what you are holding right now rather than what you eventually want out of it.
- You have a file and your Mac will not open it
- A converter. PST and MSG come off Windows Outlook, OLM off Outlook for Mac, MBOX off Apple Mail, Thunderbird or Entourage. None of them need Outlook installed. The formats themselves are covered in what an OLM file is, what an MBOX file is and what an EMLX file is.
- You have an account and want a copy on disk
- A backup tool. Gmail, Google Workspace, Office 365, Exchange, iCloud Mail, Yahoo Mail or any other server that speaks IMAP. What IMAP and POP actually store on a Mac explains why the local cache is not a backup.
- You only want what was attached to the messages
- An extractor. It pulls attachments out in bulk and keeps the folder layout, instead of you opening several thousand messages by hand.
- The file itself is damaged
- A recovery tool. These read broken Mac Outlook profiles, corrupt PDFs and the autocomplete cache Outlook never exposes. You see what survived before you pay.
- You want the data gone and unrecoverable
- The erasure tool. It overwrites the files, folders or free space you point it at so that no recovery tool can rebuild them.
